Job Card Instructions

Process for filling out the Job Posting Card. Call extension 3253 for assistance.

  1. Each position is assigned a Job Number by the Affirmative Action Office once the posting is approved. If you do not know what your Job Number is, please call the Affirmative Action Office at extension 3253.
  2. Please make sure to send out the most up-to-date job card. If the cards do not match the samples below, please contact the Affirmative Action Office and we will be happy to send a supply of the up-to-date job card.
  3. The department must write the Job Number on every card that is sent out. For example, if your Job Number was F123, your cards would look like this:

  1. The department must assign an Applicant Number to each applicant. The first three boxes are for the number in which the application was received, the fourth box can either be left blank or use a dash mark (i.e. "-"), and the last two boxes are for the initials of the applicant. Start the Applicant Number process with 001 and continue with 002, 003, etc. For example, if the first resume was Jane Smith's, you would fill out her card information like this:

  1. The Applicant Number will be used on Page 2 of the Faculty Appointment Activity Record, under the section AA ID#.
  2. Insert the card in the response letter to each applicant.
