Physical documents

In today's digital age, it is easy to overlook the importance of securing physical documents, but they remain a critical aspect of information security. All forms of sensitive materials, such as research data, student records, and confidential university information, must be protected from unauthorized access. Ensuring that these documents are locked in secure storage, regularly monitored, and properly disposed of when no longer needed helps prevent breaches, identity theft, and other risks. Safeguarding physical documents is a shared responsibility among faculty, staff, and students to maintain the integrity and privacy of academic and personal information.

  • Do not leave sensitive documents laying on your desk.
  • Position your work area in manner that keeps unauthorized eyes from seeing private documents.
  • Store documents in a locked drawer, cabinet, or safe, and secure the key or code appropriately.
  • Do not place documents containing sensitive information in trash or recycling receptacles.
  • Shred as much as possible.
  • Immediately walk to the printer to obtain documents.
